As an Administration & Order Management Officer, you will play a key role in supporting our operational teams and ensuring the smooth administration of customer orders, invoicing processes, and logistics coordination.
Your main responsibilities will include:
- Managing and coordinating customer orders from receipt through to invoicing
- Registering customer orders in the ERP system and maintaining related planning files
- Preparing customer invoices, including down payment invoices and subsequent settlements
- Ensuring accurate billing in close collaboration with operational teams
- Monitoring customer order backlogs and ensuring alignment between invoices and customer purchase orders
- Maintaining data quality and supporting master data management processes
- Reconciling Order Management reports with financial and General Ledger reports
- Preparing sales and operational statistics
- Supporting accounts receivable activities and collaborating with the Shared Service Center on collections
- Creating and managing master data requests
- Supporting procurement and material ordering activities
- Coordinating with internal logistics teams to ensure efficient service delivery
- Providing administrative support, including reception duties where required
- Participating in internal training activities and supporting knowledge sharing within the team
- Ensuring compliance with SGS quality, health, safety, environmental and integrity standards
You are an organized and proactive administrative professional who enjoys working in a dynamic environment and collaborating with multiple stakeholders.
You bring:
- Commercial or business administration education, ideally with a focus on finance, accounting, or order management
- Several years of experience in an administrative, customer service, order management, or commercial support role
- Experience working with ERP systems (knowledge of Oracle/BOSS Order Management is an advantage)
- Strong MS Office skills, particularly Excel, Word, and Outlook
- Excellent organizational and prioritization skills
- Strong attention to detail and accuracy
- Good communication and interpersonal skills
- A proactive, solution-oriented mindset
- The ability to work effectively under pressure and manage competing priorities
- Fluency in German & English
